Give your company a spring cleaning: 14 ways to improve workflow and increase efficiency

By regularly reviewing what your team is doing and why they are doing it, you can discover inefficient processes or make double efforts and promote growth and innovation. For more information, we asked 14 members of the Young Entrepreneurs Council the following question:

1. Check all POUs

We review all of our standard operating procedures every year and strive to improve the process. We identify gaps, bottlenecks and new tools that could help us do things more efficiently. - Keith Shields , Designli

2. Prohibit the sentence "That's how we always did it"

We are constantly updating the way we do things, the tools we use and how we use them. We must not say: "But that's how we always did it": it would kill us if we had this mentality. Constant changes and updates in systems and processes create a culture to keep up to date. - Torrey Tayenaka , Sparkhouse

3. Clean the mailing lists

Over time, more and more emails will be collected for your list. However, this does not mean that these people are actively involved in your company and its content. Therefore, they are a waste of a subscription. That's why I like to do an annual spring cleaning on my mailing lists. This ensures that you send content to those who pay attention so you can move more customers through the sales funnel. - Stephanie Wells , impressive shapes

4. Update the workstation devices

This year we would like to update all devices at the workplaces of the employees. Replacing laptops and desktops can be a big investment, but it's worth having reliable and fast devices with the latest technology. Instead of spending time with IT support personnel to solve technical problems, employees can focus on performing their main functions. - Matthew Podolsky , legal advisor from Florida, PA

5. Reorganize sloppy systems and processes.

If you have systems where you place resources but don't use much, it's a good idea to clean them up. Check all the tools and subscriptions you have and find out if there are any that you haven't used enough. Undertake to use or interrupt them. - Blair Williams , MemberPress

6. Increase automation.

AI has grown by leaps and bounds and today many tools are available for small businesses. One way to clean up your business in the spring is to use automation tools instead of subscriptions and legacy products. Automation helps you to achieve your goals accurately and quickly. - Syed Balkhi , WP Beginner

7. Reserve time to clean the entire company

We clean the entire company twice a year and set priorities by planning less work in these two weeks. We also distribute the cleaning work to every person in the team, e.g. B. the company's website, CRM, wiki, videos, social media accounts etc. In this way we cover all the different technologies and information systems that we use every day. but that we don't notice will be obsolete. - Nathalie Lussier , AccessAlly

8. Perform system checks

We conduct regular audits of the systems and reserve the time to think about processes and systems. The goal is to find friction and develop solutions. Regular reassessment is essential as your business will be in trouble if it stays the same as the world changes. Your current processes may be reasonable, but reasonable are not optimal, and you can be sure that your competitors won't stand still. - Chris Madden , Matchnode

9. Send old files to cloud storage

At the beginning of each quarter, we check and send old files (up to five years) to the cloud and delete them from our local hard drives. This leaves space for new files. - Kristin Kimberly Marquet , Marquet Media, LLC

10. Unsubscribe from the newsletter

I like to search my inbox and unsubscribe from newsletters that I no longer need. Throughout the year, you can subscribe to free trials and stop using tools, but you are still subscribed to your mailing list, or you can subscribe to a blog that you haven't read in a while. You no longer need to pinpoint your inbox. - Thomas Griffin , OptinMonster

11. Conduct efficiency interviews

Organize meetings with team members so you can review the processes they're working on and work more effectively. Finding ways to improve and work smarter is a great way to move forward. Some people may rely on task models instead of doing stupid manual tasks that take too much time and effort. - Nicole Muñoz , Nicole Muñoz Consulting, Inc.

12. Search for software packages

Software manufacturers are now consolidating many of their products. If you use multiple DIY programs, you are likely to consume a lot of memory and confuse your employees. A business package can help you remove unnecessary programs from your network, improving speed and accessibility. - John Turner , SeedProd LLC

13. Ask the team

An easy way to clean the feather is to ask each team member in three ways to do their job more efficiently or to do the company better. Let them know that their answers can be as creative as they want. To do this, they can make improvements to be more effective and look for emerging problems to improve the business in general. - Monica Snyder , twittering birds

14. Bring a stranger

You can get caught doing it all the time in one direction. If you bring someone new and train them, encourage them to ask why you are doing something in a certain way and whether this is the best and easiest way to do it. - Jason Duff , little nation
